1. About these terms

These terms apply when you use the Vet Travel Docs website or purchase a pet-travel document check or draft-preparation service.

Please read these terms before purchasing a service. Nothing in these terms affects any consumer rights that cannot lawfully be excluded or limited.

2. What Vet Travel Docs provides

Vet Travel Docs is a document-readiness checking and supported draft-preparation service for non-commercial pet travel.

Depending on the journey selected, the service may provide:

  • a personalised document-readiness report;
  • identification of missing, inconsistent or unverifiable information;
  • checks relating to journey dates, microchip records, rabies vaccinations, blood tests, treatments and other supported requirements;
  • instructions identifying the next official, veterinary, border or carrier action;
  • guidance directing you to an official online process; or
  • a supported draft official document for review by a veterinarian or relevant authority.

The precise service and price will be displayed before payment.

3. What Vet Travel Docs does not provide

Vet Travel Docs does not:

  • perform a veterinary examination;
  • provide veterinary, legal or government advice;
  • issue, certify, sign, stamp or endorse an Animal Health Certificate, pet health certificate or other official document;
  • act for APHA, USDA APHIS, CDC, the European Commission or another government or border authority;
  • submit an official online declaration unless that function is expressly offered in writing;
  • arrange transport or confirm carrier acceptance;
  • guarantee that a veterinarian will certify a document; or
  • guarantee that a carrier, border authority or destination country will accept an animal.

Veterinary examination, certification, government endorsement, laboratory testing, treatments, carrier charges and other third-party services are not included in the Vet Travel Docs fee.

4. Your responsibilities

You are responsible for providing complete and accurate information about the owner, traveller, pet, journey, countries of origin, transit and destination, travel dates and supporting veterinary records.

You must:

  • check that all names, dates, microchip numbers and other information are correct;
  • provide clear and genuine copies of relevant records;
  • retain and present original documents where required;
  • tell us if the journey, dates, route, carrier or pet’s circumstances change;
  • follow the instructions of your veterinarian, carrier and relevant authorities; and
  • obtain all required examinations, treatments, signatures, endorsements and permissions.

Vet Travel Docs uses the journey dates, countries, transit points and method of travel you provide solely to perform the supported document checks. We do not verify flight, ferry, rail or road bookings; carrier schedules or acceptance; approved travel routes; pet reservations; airport or port facilities; or whether a particular point of entry will accept the animal.

Where booking evidence is supplied, we may compare the information shown with the journey details entered into the service. This does not constitute confirmation of the booking or verification with the carrier.

The Official Veterinarian remains responsible for examining the animal and deciding whether an official veterinary document can be completed, signed or certified. The carrier remains responsible for transport acceptance, and the relevant border authority makes the final admission decision.

We are not responsible for an incorrect result caused by incomplete, inaccurate, altered, misleading or illegible information supplied to us.

5. Route availability

You may use the free journey checker to find out whether Vet Travel Docs currently supports a route. A route shown as unavailable cannot proceed to a paid check.

Support for travel in one direction does not mean the reverse journey is supported. Requirements can differ according to the source country, destination, transit route, pet species, travel method, health history and journey dates.

We may add, change, suspend or withdraw route support when official requirements or source documents change.

6. Time-sensitive requirements

Pet-travel requirements can change without notice. A report is based on:

  • the information you supplied;
  • the journey and dates stated in the report; and
  • the authoritative sources and rules available when the report was produced or revalidated.

A report must not be reused for a different journey, animal, route or date. If an included travel-revalidation facility is available, you should use it after finalising your travel arrangements.

7. Draft official documents

Any official-document draft produced by Vet Travel Docs is supplied solely for review by the appropriate veterinarian or government authority.

It is not valid for travel unless it has been reviewed, completed, signed, certified and endorsed as required by the relevant authorities.

You must not add a veterinary signature, government endorsement, official stamp, certificate number or professional attestation yourself.

8. Prices and payment

The applicable service, currency and total price are shown before payment. Payment is processed securely by Stripe. Vet Travel Docs does not store your full payment-card details.

The payment covers only the Vet Travel Docs service displayed at checkout. It does not include veterinary, laboratory, government, border, carrier or transport charges.

9. Immediate performance and cancellation

UK consumer law provides a 14-day cancellation period for many services purchased online.

Vet Travel Docs is intended to begin checking the information you provide and supplying your digital report or supported draft promptly after payment. Before payment, you will therefore be asked to expressly request that we begin performing the service immediately and to consent to the immediate supply of the resulting digital content.

Once the purchased service has been fully performed and the report or supported draft has been supplied, your right to cancel simply because you have changed your mind will end, provided you gave the required request, consent and acknowledgement before the service began.

If you ask us to begin immediately and then cancel before the service has been fully performed, we may deduct or charge a proportionate amount for the work already completed where the law permits.

This does not affect your statutory rights if the service is faulty, was not performed with reasonable care and skill, or was not supplied as described.

10. Reports, corrections and support

You should review the report promptly. Where the service provides a secure correction or revalidation facility, use that facility to correct customer-supplied information.

Vet Travel Docs is designed as a self-service automated checking service. Customer support is limited to technical access, payment and report-delivery problems.

We do not provide individual veterinary advice, manual route research, manual document checking, certificate completion, carrier liaison or representation before a government or border authority.

Veterinary questions must be referred to an appropriately qualified veterinarian. Questions concerning admission, endorsement or an official process must be referred to the relevant authority or carrier.

11. Refunds and complaints

If you experience a technical problem or believe the purchased service was not supplied as described, contact us at info@vettraveldocs.com and provide your case reference.

Where appropriate, we may correct the service, provide it again or refund the amount paid for the affected check. A discretionary refund does not constitute an admission of negligence or further liability.

This refund policy does not restrict any statutory remedy available to you.

12. Our responsibility to you

We are responsible for losses that are a reasonably foreseeable result of our breach of these terms or our failure to use reasonable care and skill.

We are not responsible for:

  • losses caused by inaccurate, incomplete or late information supplied by you;
  • changes made to your journey after the report was produced;
  • decisions made by a veterinarian, laboratory, carrier, border authority or government;
  • changes to official requirements after the report or revalidation was produced;
  • failure to obtain a required examination, treatment, signature, endorsement or permission;
  • use of a report or draft for a different pet, route or journey; or
  • losses that were not reasonably foreseeable when the contract was formed.

To the fullest extent permitted by applicable law, our total aggregate liability arising from a particular paid Vet Travel Docs check or preparation service will not exceed the amount you paid for that service.

This limitation does not apply to fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any liability or consumer right that cannot lawfully be excluded or limited.

13. Website and third-party services

Links to government, veterinary, carrier or other websites are provided to help identify the appropriate next step. Those websites and services are controlled by third parties, and we are not responsible for their availability, content or decisions.

You must not misuse the website, interfere with its security, attempt to access another customer’s case or use generated material fraudulently.

14. Personal information

We process personal information as described in our Privacy Policy. Information needed to provide the service may include identity, contact, journey and veterinary-record information.

Case information and uploaded evidence are subject to the security and retention controls described in the Privacy Policy.

15. Changes to these terms

The version accepted when you purchase a service applies to that purchase. We may update these terms for future purchases, including when the service or applicable law changes.

16. Governing law

These terms are governed by the law of England and Wales.

If you are a consumer living elsewhere, you retain any mandatory consumer protections that apply to you, and nothing in these terms removes any right to bring proceedings where applicable consumer law permits.
